Welcome to Event Flow Co. By accessing our website, submitting an inquiry, booking a consultation, or using our services, you agree to the following Terms & Conditions. Please read them carefully.
1. Use of Website
This website is intended to provide information about Event Flow Co.’s services, portfolio, and availability. You agree to use this site for lawful purposes only and in a way that does not infringe on the rights of others or restrict their use of the site.
We reserve the right to update, modify, or remove content on this website at any time without notice.
2. Services
Event Flow Co. provides event planning, coordination, design, décor, balloon installations, and interactive experiences. All services are subject to availability and may vary based on event scope, location, and timing.
Submitting an inquiry or scheduling a consultation does not guarantee availability or constitute a booking.
3. Consultations & Inquiries
Consultations and planning calls are offered by appointment only. Information provided during an inquiry or consultation is used solely for communication, planning, and service-related purposes.
Event Flow Co. reserves the right to decline inquiries that fall outside our scope, availability, or business alignment.
4. Booking & Lead Time
To ensure intentional design, seamless coordination, and proper production planning, Event Flow Co. requires the following To ensure intentional design, seamless coordination, and proper production planning, Event Flow Co. requires the following minimum lead times:
- Full-Service Event Planning: 12+ weeks
- Partial Event Planning: 8+ weeks
- Event Styling & Installations: 6–8 weeks
- Day-of Coordination & Management: 6 weeks
- Event Day Staffing: 4 weeks
- Consultations & À La Carte Services: 2–4 weeks
Requests submitted within these timeframes may be considered based on availability and are subject to expedited planning or rush fees. An event date is officially secured only upon receipt of a signed Service Agreement and a 50% non-refundable retainer.
5. Payments, Deposits & Fees
- Retainer: A 50% non-refundable retainer is required to secure services. This deposit is applied toward the base planning total.
- Coordination Fee: Full-service planning includes an additional 8% Coordination Fee calculated based on the Total Event Spend (including all third-party vendors, rentals, and decor managed by Event Flow Co.). This fee will be reconciled and settled with the final balance.
- Additional Hours: Base packages include a set number of coordination hours. Any consultation or on-site hours requested outside of the original scope will be billed at our standard hourly rate of $[Your Rate].
- Payment Method: To ensure security for high-value balances, payments are processed via our secure portal. We highly recommend Bank Transfer (ACH) to avoid third-party processing delays.
- Default: Failure to submit payments per the schedule in your Service Agreement may result in project delays, forfeiture of the date, or cancellation of services.
6. Changes & Cancellations
Scope Changes: Event details often evolve. However, significant changes to the scope, guest count (+/- 20%), design, or location may require a contract addendum and additional service fees.
Cancellations: All retainers remain non-refundable. Detailed cancellation schedules (including percentages of the total fee due based on the cancellation date) are outlined in your individual Service Agreement.
Force Majeure: Event Flow Co. is not liable for cancellations or delays caused by factors beyond our control, including extreme weather, venue closures, or third-party vendor defaults.
7. Photography & Content Use
EPortfolio Use: Event Flow Co. reserves the right to photograph and record event spaces, decor, layouts, and installations for use in our portfolio, website, and social media.
Privacy: We respect guest privacy and do not intentionally publish identifiable images of guests without prior consent.
Client Content: Any professional images provided by the Client or their photographer will be used only with credit and permission.
Opt-Out: By engaging our services, you agree to this usage unless a written “Privacy Request” is submitted and signed by both parties prior to the event.
8. Intellectual Property
All content on this website, including text, images, branding, designs, and layouts, is the property of Event Flow Co. and may not be copied, reproduced, or used without written permission.
9. Third-Party Vendors
Event Flow Co. may recommend or collaborate with third-party vendors (venues, florists, photographers, etc.). We are not responsible for the actions, performance, or agreements of third-party vendors unless explicitly stated in writing.
10. Limitation of Liability
Event Flow Co. is not liable for indirect, incidental, or consequential damages arising from the use of our website or services. Our liability, if any, is limited to the amount paid for services rendered.
11. Privacy
Your use of this website and services is also governed by our Privacy Policy, which outlines how we collect and protect your information.
12. Governing Law
These Terms & Conditions are governed by the laws of the State of Arizona, without regard to conflict of law principles.
