Welcome to Event Flow Co. By accessing or using our website, submitting an inquiry, booking a consultation, purchasing services, or otherwise engaging with Event Flow Co., you agree to these Terms & Conditions. Please read them carefully.
1. Use of Our Website
This website provides information about Event Flow Co., including our services, portfolio, availability, and ways to contact us. You agree to use this website only for lawful purposes and in a manner that does not harm, interfere with, or restrict the use of the website by others.
We may update, modify, suspend, or remove website content at any time without notice.
2. Our Services
Event Flow Co. provides event planning, coordination, design, décor, balloon installations, interactive experiences, consultations, and related event services.
Services are subject to availability and may vary based on event scope, location, date, venue requirements, timing, staffing, inventory, and other relevant circumstances.
Submitting an inquiry, receiving information, or scheduling a consultation does not guarantee availability and does not create a service agreement or confirm a booking.
3. Consultations and Inquiries
Consultations and planning calls are available by appointment. Information you provide during an inquiry or consultation may be used to communicate with you, evaluate your event needs, prepare recommendations or proposals, and discuss potential services.
Event Flow Co. may decline an inquiry, consultation, or service request that is outside our availability, service scope, budget alignment, location coverage, or business discretion.
4. Booking and Lead Time
We generally require a minimum lead time of four (4) weeks before an event date. Requests submitted with less than four weeks of lead time may be considered at our discretion and may be subject to a rush fee, limited availability, or modified service options.
A booking is confirmed only when Event Flow Co. has received both:
- A signed service agreement or written confirmation, when required; and
- The required deposit or initial payment.
Until a booking is confirmed in writing, Event Flow Co. may continue to accept other inquiries and bookings for the requested date.
5. Payments, Deposits, and Fees
Pricing, deposits, payment schedules, late fees, travel fees, rental fees, taxes, and other applicable charges will be described in your proposal, invoice, service agreement, or written communication.
Deposits and retainer payments are non-refundable unless otherwise stated in writing. A deposit reserves time, planning capacity, inventory, staffing, or event availability that may no longer be available to other clients.
Failure to make payments by the due dates provided may result in delayed planning, delayed delivery, suspension of work, cancellation of services, or loss of the event date. Event Flow Co. may require full payment before the event date or before setup, delivery, or installation begins.
6. Changes, Cancellations, and Postponements
Event details may change during the planning process. Changes to the event date, time, location, guest count, design, scope of work, staffing, materials, rentals, or services may require an updated proposal and may result in additional fees.
Cancellation, postponement, and rescheduling terms will be governed by your individual service agreement or invoice. Amounts already paid may be non-refundable, including deposits, planning fees, custom materials, purchased inventory, reserved rentals, staffing costs, and vendor expenses.
Event Flow Co. is not responsible for delays, cancellations, losses, or changes caused by circumstances outside our reasonable control, including weather, venue restrictions, utility interruptions, illness, emergencies, transportation disruptions, government actions, acts of nature, or failures by third-party vendors.
7. Client Responsibilities
Clients are responsible for providing accurate, complete, and timely event information, including venue details, access times, contact information, venue rules, permits, and any relevant safety or site requirements.
Clients are also responsible for obtaining necessary venue approvals, permissions, and permits unless Event Flow Co. agrees in writing to do so. Event Flow Co. is not responsible for charges, delays, or service changes resulting from inaccurate information, insufficient access, or venue restrictions not disclosed in advance.
8. Event Setup, Rentals, and Property
When applicable, clients are responsible for ensuring reasonable venue access for setup and breakdown, including access to loading areas, electricity, tables, ladders, parking, and other items specified in the service agreement.
Rentals, décor, equipment, and installations remain the property of Event Flow Co. or the applicable rental provider unless otherwise agreed in writing. Clients may be responsible for loss, theft, damage, misuse, or destruction of rented or supplied items caused by the client, guests, venue, or other third parties.
9. Third-Party Vendors
Event Flow Co. may recommend, coordinate with, or collaborate with third-party vendors, including venues, florists, caterers, photographers, entertainers, rental companies, transportation providers, and other service providers.
Unless explicitly stated in writing, Event Flow Co. is not responsible for the performance, conduct, availability, pricing, products, services, contracts, cancellations, delays, or actions of third-party vendors. Agreements with third-party vendors are separate agreements between you and those vendors.
10. Photography and Content Use
Event Flow Co. may photograph or record event spaces, décor, layouts, installations, and event details for portfolio, website, marketing, social media, educational, and promotional purposes.
We do not intentionally photograph or publish identifiable images of guests without permission. Client-provided photographs, videos, testimonials, or other content will be used only with permission.
By engaging our services, you acknowledge this potential use unless you notify us in writing before the event that you do not wish for event details or non-identifying images of the setup to be used.
11. Intellectual Property
All content on this website and all materials created by Event Flow Co., including text, branding, logos, designs, concepts, proposals, layouts, images, graphics, planning documents, and website content, are owned by or licensed to Event Flow Co. and are protected by applicable intellectual property laws.
You may not copy, reproduce, modify, distribute, publish, sell, or use our content, designs, or materials without prior written permission from Event Flow Co.
12. Privacy
Your use of our website and services is also subject to our Privacy Policy, which explains how we collect, use, and protect personal information.

13. Limitation of Liability
To the fullest extent permitted by law, Event Flow Co. will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages arising from or related to our website, services, event planning, recommendations, third-party vendors, or event-related circumstances.
To the fullest extent permitted by law, Event Flow Co.’s total liability for any claim related to our services will not exceed the amount paid to Event Flow Co. for the specific services giving rise to the claim.
Nothing in these Terms & Conditions limits liability where liability cannot legally be limited or excluded.
14. Governing Law
These Terms & Conditions are governed by the laws of the State of Arizona, without regard to conflict-of-law principles.
15. Changes to These Terms
We may update these Terms & Conditions from time to time to reflect changes to our services, business practices, website, or legal obligations. Updates will be posted on this page with a revised “Last Updated” date.
